This policy explains what information Polished Stone, LLC ("Polished Stone", "we", "us") collects, how we use it, and the choices you have. It covers polishedstone.net, our related sites, the services we provide to clients, and Command Center, the internal application we use to run our business, including its connection to QuickBooks Online.
Polished Stone, LLC is a Utah limited liability company. Questions about this policy: chris@polishedstone.net.
Information you give us: when you fill in a contact or sign-up form, book a call, or email us, we receive what you send, such as your name, email address, company, phone number and message.
Newsletter: if you subscribe to Polished Perspectives, we keep your email address and, if you give it, your name.
Client work: when you hire us, we handle the business information needed to do the work, such as account access you grant us, order, product and operational data, and meeting notes or recordings of calls you agree to record.
Accounting data: for our own bookkeeping we keep invoices, payments and the contact details on them.
Website analytics: we use Google Analytics (GA4) to understand how visitors use our sites. It sets cookies and collects usage data such as the pages you visit, your device and browser, and your approximate location. Google processes this data under its own privacy policy (policies.google.com/privacy). You can opt out with Google's opt-out browser add-on (tools.google.com/dlpage/gaoptout) or by blocking cookies in your browser. We do not use advertising cookies.
Website logs: like any website, our hosting provider records basic technical logs (such as IP address, browser and pages requested) to keep the sites running and secure, and pages load fonts from Google Fonts.
We use information to: • answer you and provide the services you ask for; • send the newsletter you subscribed to (every issue has an unsubscribe link); • schedule and run meetings; • invoice, collect payment and keep our accounting records; • keep our sites and systems secure and working.
We do not sell personal information, and we do not use it for advertising.
Command Center connects to Polished Stone's own QuickBooks Online company through Intuit's API, with our authorization. It reads our invoices and customers, so our records stay in one place.
Data obtained through the QuickBooks API is used only for Polished Stone's own accounting and operations. It is not sold, rented or shared with anyone, it is not used for advertising, and it is not combined with data from other QuickBooks companies. Access tokens are stored encrypted, and we can revoke the connection at any time from QuickBooks or from Command Center. If the connection is removed, we stop accessing QuickBooks and delete the stored tokens.
We share information only with service providers that help us run the business, under their own privacy and security terms, and only as needed for the purposes above: • Hosting and databases: Vercel, Convex, Neon, Amazon Web Services (file storage) • Website analytics: Google Analytics (Google) • Email, calendar and documents: Google Workspace • Forms and scheduling: Google Forms, TidyCal • Team messaging: Slack • Newsletter: Kajabi • Payments: Kajabi (course purchases), Stripe (card payments), and QuickBooks Online (Intuit) for clients who pay our invoices. Payment details are entered with these providers, not stored by us. • Accounting and invoicing: QuickBooks Online (Intuit), Harvest • Meeting recordings and notes: Fathom • AI processing inside our internal tools: Anthropic (Claude) • Social media scheduling: Zernio
We may also disclose information if the law requires it, or to protect our rights or the safety of others.
We keep contact and client information for as long as we work together and for a reasonable period afterward. We keep accounting records for as long as tax and accounting rules require. Newsletter addresses are kept until you unsubscribe. You can ask us to delete your information at any time, and we will unless we are required to keep it.
We use reputable providers, encryption in transit, encrypted storage of credentials and access tokens, and access limited to the people who need it. No system is perfectly secure, but we take reasonable steps to protect your information and will tell you if a breach affects you.
You can ask to see, correct or delete the personal information we hold about you, or to stop receiving emails, by writing to chris@polishedstone.net. We will answer within 30 days. Depending on where you live, you may have additional rights under local law, and we will honor them.
Our sites are not directed to children under 13, and we do not knowingly collect their information.
If we change this policy, we will post the new version here with a new effective date. If a change is significant, we will tell clients and subscribers by email.
